In this lecture, we will look at the various ways of formatting text, and a few different ways to get there!

A Quick Word On Formatting

From time to time, you may want to have your data aligned in a way that Excel doesn't choose by default.

The default options are:
• Text automatically aligns to the left
• Numbers automatically align to the right

You can easily change the width of your columns (or the height of your rows) if you find that part of your data has been lopped off, or the column is just too wide for the data you have in it.

So, now you understand how to sum a column, but what if you want to use Autosum to add up a row of numbers?

In this lesson you will learn how to view a formula in one cell while you're in different cell!

This will allow you to copy the structure of the original formula, and adapt it so it works somewhere else! This saves you having to remember everything.

We will also look at how Excel will help you to use the various functions by offering tool tips to show you what you need to do!

We will also look at how to use formulas you have already written in new formulas, to save having to write everything from scratch.

You will also learn that there are two ways to express values in your formulas...you can point and click the cells you want to use (so the formula uses the cell reference (A1, C3 etc.)), and you can also just type in a number.

In this lesson, you will learn how to use our second of Excel's built in function: Average.

You will also learn how to get to some of the other built in functions using the formula ribbon.

Average Function

This is probably the most important lecture in the entire course!

In this lecture you will learn about the order of mathematical operation. This is the number 1 problem I see with a lot of Excel users, after this lecture you will never have this problem!

Because Excel always acts on the different mathematical operators (+, -, *, / etc.) in a specific sequence, you may not always get the answer you thought you would get!

Luckily, I have a really simple way of committing this to memory so you will always remember it!

Additional note:

Excel deals with the following in which ever order they appear:

  • Multiplication and division, whichever comes first.
  • Addition and subtraction, whichever comes first.

If in doubt, start with a simplified problem to which you now the answer...then build your formula to arrive at the correct answer. You will then have proven a working formula.

The Order Of Mathematical Operation

In this lecture you will learn about one of the most powerful tools in Excel: Evaluate Formula. I have never seen this taught before anywhere else!!!

I literally only discovered this the day before I created this lecture...and I've been using Excel for over 20 years! I asked everyone I know who uses Excel, and none of them knew about it either.

So you will now not only understand how to explore your formulas step by step, you will know how to use a really powerful tool that almost no one else knows is there!

In this lecture you will learn how to insert columns and rows.

From time to time, you will realise you forgot to include something in your spread sheet, and wish that you had added it when you started. Luckily, Excel provides a really quick way of adding new columns or rows to a worksheet you have already created.

You will learn two ways to do this (just pick your favourite :)). The insert option from the home ribbon, and the right click method.

We will also cover sanity checking the formulas you have already written (just in case)!

Inserting New Columns And Rows

You may decide that one or more of your columns would be better placed somewhere else. This lesson covers how to do that quickly and easily.

UPDATE: When we move the Opening Stock column, you will notice little green triangles appearing in the Total column. With these, just select each cell, click the yellow exclamation point (the error), and choose "ignore this error". All Excel is trying to do is establish if the "new" column B should be included in the sum (which it shouldn't).

Moving Existing Columns And Rows

Like the title says, in this lesson you will learn how to cut and copy (and the difference between the two), and insert and delete blocks of data (or single cells, it works the same).

Sometimes your workbooks become too big to see everything all at once, that's when hiding certain columns or rows becomes useful. You may want to print out your worksheet for a meeting, but hide a particular column (perhaps buy prices).

In this lesson you will learn how to build your own complex formulas, and the easy way to do it. I've been using Excel for a few decades, and I still use this method to build multi-tiered complex formulas.

If you ever see a spreadsheet with a formula a mile long, just remember, the person who wrote it probably did it this way too to begin with!

In this lesson you will learn how to sort your data.

To begin with, you will learn how to sort alphabetically and reverse alphabetically. Nice and easy.


In this lesson you will learn how to wrap text, and soft enter (sometimes called a soft return).

Wrapping text is useful if you want your text to wrap-around and be displayed over a few lines in a particular cell, but sometimes, you want to make sure your text always appears on different lines (even though its all in a single cell). Pretty much as it would when you type in Word.

Possibly the shortest lecture in the whole course!

In this lesson, you will learn how to add additional worksheets to your workbook. You will also learn how to rename your worksheets to something more useful than Sheet1 and Sheet2!

Adding A New Worksheet

In this lesson you will create your first chart from the data you have already entered.

Charts are a lot easier to make than most people think. The usual problem I find is that there are columns of data that they don't want to have in the chart. So with that in mind, you will also learn how to select two (or more) separate ranges of data at the same time!

You will also learn how to move your chart to a different sheet (the one we created in the last lecture).

In this lecture you will learn how to add borders to your cells.

Borders are those lines around cells you sometimes see on spreadsheets, aside from the faint grey ones that are there to make them easier to see.

We will have a quick look at the built in border options, and you'll then learn how to build your own custom border from scratch!

In this lesson you will learn how to personalise Excel's Quick Access Toolbar.

This is a powerful thing to learn. I lose count of how many times I've seen people wasting valuable seconds navigating the ribbons to get to a function they use a hundred times a day!

Once you have this in your skills toolbox, you will be more productive than a lot of people who use Excel everyday!

In this lesson you learn how to set up your spreadsheet to print.

You will learn a few ways to get to the print interface, and once you're there, you will learn how to make sure your print out always fits on a single page!

There's nothing more frustrating than scrolling down a huge spreadsheet, not being able to see your headings anymore, so you don't know what you are looking at!

Freezing is the way to get around this problem. It is so useful, I use this feature on every single workbook I have ever made! I'm pretty sure you will too.

In this lecture we will take a look at Excel's built-in help function.

The help section of Excel is huge! Probably enough to fill a dozen books.

The keyboard shortcut for this lesson is:

F1 (at the top of your keyboard) gets you to Excel help.

Getting Help

Without doubt, one of the (other) most powerful tools in Excel...the Filter.

In this lesson you will learn what a filter is, how to add them, clear them, and generally manipulate them to quickly drill down to see exactly (and only) what you want to see.

You'll also learn how to instantly tell if you have any filters are applied (hint: look at the colour of the row numbers!).

I think you will be using these a lot!


In this lesson you will learn how to highlight cells in a myriad of colours.

You may want to do this to make certain things stand out (totals for example), or you may use highlighting to show certain cells contain formulas (so don't change them!), or you may choose to highlight cells to show that this is where data needs to be entered.

It's really quick, and really useful.

The keyboard shortcuts in this lesson are:

CTRL + Arrow Keys to get to the far right, far left, the top or bottom of your data set

If you want to select a row or column, just hold down SHIFT with the above!

CTRL + Home to get to your home cell (the top left in your data set)

SHIFT + Page Up/Down to scroll whole pages at a time

CTRL + Page Up/Down to flip between sheets

CTRL + A to select all of your data table (and again for all of the sheet)

Hi, my name is Alan, and I have almost thirty years of experience in teaching various subjects and have held senior management positions at several blue chip and Times Top 100 companies. I now specialise in consultancy and interim work.

My love for Excel began soon after the program was released. Back then, we really only used it for typing tables in our production planning department. If you can believe it, I was taught to then calculate with a calculator and TYPE the answers into Excel...you'd be surprised how many people I meet who still do this!

There were two turning points for me in my journey. The first was a chance conversation with one of our accountants when I was complaining how slow it was to keep having to flip between worksheets to see different bits of data. He introduced me to VLookups and a new world of possibilities opened up. I found that I need never have huge paper accountancy pads (remember those?) and a calculator to produce a production plan again! Suddenly, I could produce my plan in 15 minutes, rather than the day and a half it used to take. I began delving into other features of Excel, and finding ways to incorporate them into the planning "system" I had created, and remember this was back in the day when the internet hadn't been invented! Through trial and error, I refined my Workbook until I could chomp through days of work in seconds, and what's more, using these powerful features of Excel, I could optimise our production runs to get more output from the same working week, something that had never been done before. Promotion soon followed, and I became the "go to guy" for anything Excel related. This was the 90's.

Then, in manufacturing, came the MRP revolution. We had an army of programmers developing a system for us. This was my second turning point. I was awestruck with coders. The skill they had, and how clever they were, and that they were smart enough to go to university in the first place. I wasn't like that. I had no formal education beyond primary and secondary school, but a really cool programmer named Mark let me into a secret...

He said "If you can describe, step by step, how to cross the road without getting killed, you can be a programmer". I recorded my first macro, and took a peek under the hood. I deconstructed the VBA code, and played with it until I understood what everything did. Then I changed it to make it do what I needed it to do.

Since then, I have developed accountancy systems, simple planning systems, full blown MRP systems and scores of stand alone "helper" systems to simplify and speed up work in almost every department in every company I have worked in. Some of the solutions I created 20 years ago are still being used today! If you doubt the power of Excel, it may surprise you to learn that you can run the procurement of a £1.3b (yes, billion) company with an Excel file with a bit of coding behind it. This is a skill that people will pay highly for!

Not everyone wants to go that far, so over the years I have taught people to create efficient solutions for themselves, either with or without coding. Those who took the time to learn have since had multiple promotions, or have started their own businesses! At the very least, they are getting more work done in less time with less headaches :)
