Remember when we were just a few years old and we would spend all day playing make believe? We would put ourselves in someone else's shoes. Well, it’s time to go back to that! (When I talk about this at webinars, I toss a diaper on the table and tell people we’re going back to those good ol’ days. I guess for this email you’ll just have to imagine that!)

When you sit down to write something, don’t think like the writer, think like the reader. Put yourself in your readers' shoes and figure out what they want to read, and what they want to learn about.

Don't forget to spend a little extra time on the headline. After all, that's what grabs your readers' attention and encourages them to read on.

Most sales experts will tell you all customers have certain 'buttons'. When you press those buttons in just the right sequence, you can encourage customers to take the action you want. With email marketing, your words are the tools that press those buttons.

Think about the reader's thought process. Let's say you're selling mugs, so your reader may initially think: Do I need a mug? It's your job then to elicit more questions, offer answers, and lead the reader along a path that may continue something like this: Hmm.. an extra mug wouldn't hurt. Ooh, and this one is leak-proof. But do I want to spend money on a mug? Well, that is a great price. Ooh, and if I buy now I get another 25% off... and so on. You have the power to press those right buttons and with a little effort you'll see big results.

Think Like The Reader!

Before you start writing any sentence you need to ask yourself what point you are trying to get across to the reader. Are you trying to elicit an action? Are you making an emotional appeal or promoting a product’s features?

You must have a clear objective with every statement you type, otherwise your message becomes cluttered. You probably know your objective for the overall email, but that may be too general. You need to drill down to the details and make sure every sentence is included for a reason.

If you read a sentence and it feels like it’s just a 'filler', then get rid of it. You don’t need to fill up space to get your point across!

After the reader opens your message, he or she will be looking for your "point". So you're really doing your reader a favor when you make that point crystal clear.

How to Write An Effective Welcome Email to Inspire Your Lifecycle Marketing

One of the most important parts of your email is the subject. It’s true that when you are creating a campaign, entering the subject is just one tiny part of the whole process, but it’s a part that has the power to influence your results in a big way.

In many web-based and desktop-based programs, your email recipient only sees your name and subject. This is how the reader decides whether or not to open your email. That means you need to make sure your subject grabs the reader's attention.

But make sure your subject makes sense. For example, if you own a car dealership, don't use the subject "New For 2007" (out of context, that doesn't really mean much). Instead, write a subject like "Get an Exclusive First Look at Ford's New 2007 Models ". This second subject may be describing the same thing, but the word usage makes the message more appealing to open. Plus, the words 'exclusive' and 'first look' tell readers that they are getting something ahead of everyone else, which is a good tactic to increase your opens percentage.

The key is really to think about the subject and then try out different things. You can view your opens report in real-time so you’ll be able to get instant feedback: did your new subject hit the mark, or do you need to try something else? Keep testing, until you find the perfect formula.

How To Write An Excellent Email Subject Line

This is one of the trickiest lessons, and it sometimes drives people crazy. When we write, we often have a tendency to use more words than we need. To write effective email marketing copy, you need to keep your words to a minimum.

If you write a 15 word sentence, can it be cut down to 10? Is there a shorter and more common word you can use instead? (like "fun" instead of "entertaining"). During my seminars I tell people to write a one paragraph bio about themselves. When they're finished, I tell them to cut out 15-20 words. This forces them to rethink every word. It's often a challenge (ask any news editor!). But with enough hunting you'll find those words you can delete. This makes your email more concise without changing the message, which is a big plus.

Keep in mind, the faster your email recipient can read the email, the faster they can act on your offers.

How to Write Effective Email Marketing Content

I appreciate the fact that in a past life you may have been Shakespeare or another world-renowned playwright, but that isn't going to help you write effective copy. You may have the best vocabulary, but save it for a game of Scrabble. When writing email copy, don’t challenge the reader. Keep it simple. For example, you could say this:

"Utilize your intellectual capital to assess the merits and cost-benefit calculation of your purchase decision."

Or you could say this:

"Make the smart decision and take advantage of this sale."

The second statement will produce far greater results! Make sure you keep your email copy simple and to the point. Because at the end of the day, you want your reader to walk away with your key message, not your amazing vocabulary.

I was once hired by a client to consult on their email marketing initiatives. They were sending out campaigns early Monday morning to a business-type audience. There response was good, but we knew it could be better. They had changed their subject, the content of their message and their link text. They saw some success, but nothing huge. There was, however, one thing they never changed: they always sent their message at the same date and time.

In order to earn my big hourly rate I had to come up with something that would spike results. The pressure was on, and my solution was simple. I told them to send the message out Tuesday at 1:00pm EST. I suspected that many of their subscribers were receiving a lot of messages over the weekend that flooded into their inbox Monday morning. In that flood was my client's message. By moving it to Tuesday, we were able to fight our way out of the weekend clutter right away.

The 1:00pm EST delivery time was also strategic. My theory was that when these business people checked their email first thing in the morning, they had a lot of new messages to respond to. As such, I wanted my client's campaign to get there away from the morning rush. The 1:00pm EST time was perfect for those in the Eastern time zone because they would pick it up after lunch, and to those on the west coast in Pacific time they would receive the email at 10:00am, a time by which they had hopefully processed the overnight emails.

This small change increased the client's opens by 23%, and that led to a huge spike in clicks and conversions. So the lesson to be learned here is to play around with your sending date and time and see what works best for you.
