As organizations grow, work becomes harder to see and harder to manage, and that's exactly what organizations starting to experience. This is where Process Management comes in to play. This lecture talks about it
A process is simply how work moves from trigger to outcome. The simplest way to understand any process is through three building blocks:
1. Input could be a customer order
2. Activities could be Plan, source, produce, pick, pack and ship
3. Output could be Customer gets product on time and pays
we will look at core business processes and see how this simple logic shows up in real business work.
Once you understand what a process is, the next question is which processes matter most. Every organization has its own process landscape, but a few end-to-end processes appear almost everywhere. They cross departments, repeat constantly, and shape cost, speed, quality, and customer experience. Together, they provide a practical starting point for understanding process work.
In the early stages of a company’s life, work is easy to keep track of. Teams sit close together, questions get answered in real time, and most problems are solved through quick conversations. Everyone understands what needs to happen, and they simply make it happen.
As the business grows, that changes. Orders increase, new employees join, and additional systems are introduced. Work begins to move across different teams, functions, and even locations. What once worked through shared experience and informal communication no longer scales.
The organization’s early reliance on memory and direct conversation becomes insufficient. More people, more handoffs, and more specialization create complexity that informal coordination can’t support. To operate reliably at this stage, the business must shift to clear, documented processes that keep every department aligned and reduce inconsistency
From the business perspective, these differences create uneven response times, inconsistent data visibility, and unpredictable handling of exceptions. The same activity, performed in two different ways, leads to outcomes the company can’t reliably predict.
Delays and temporary workarounds stop being minor inconveniences at this stage. Operations leaders begin to recognize the wider impact: delivery timelines become unpredictable, quality varies from case to case, manual effort keeps rising, and finance experiences slower billing whenever shipment delays push the schedule back.
Cost : More manual effort, more corrections, and more exceptions inevitably drive costs upward. This is a reality no organization can ignore.
Speed : Longer cycle times, slower responses, and delayed outcomes drive additional costs through increased labor hours, under‑utilized machinery, and even cancelled customer orders.
Quality : More variation leads to more inconsistency, and ultimately more rework. Quality is money, and every quality issue or rework cycle consumes significant time, effort, and financial resources.
Control: Weak visibility leads to weak compliance, which in turn makes governance more difficult. When processes aren’t followed consistently, oversight drops and every step becomes vulnerable to deterioration in cost, speed, and quality.
Working capital : Working capital takes a direct hit when delays slow the conversion of work into financial value. Every business depends on steady value creation, but issues in cost, speed, or quality ultimately lead to late deliveries, cancelled orders, and disrupted cash inflow. This puts significant pressure on working capital, making it harder to fund daily operations and support growth.
SAP Signavio is a business process transformation suite designed to help organizations close the gap between how they think their processes run and how those processes actually work in practice.
It started as a standalone software company and was acquired by SAP in 2021. Organizations running SAP systems get a particularly direct connection between their operational data and their process analysis. SAP Signavio also works with non-SAP systems; the process capabilities do not require an SAP ERP to function
Objective of this lecture is, to understand what is Business Process Modelling, How it looks like and what information it provides and also we will see an sample BUSINESS PROCESS model
Let us get into architectural part of Process model. What are the various levels?
Business Process Model and Notation (BPMN) is the global standard for process modeling. This lecture gives overview
BPMN Core Elements are the building blocks of every BPMN diagram.
There are four major elements. Understanding these four is enough to model 90% of real‑world processes.
They care,
Flow-Objects, Connecting Objects, Artefacts, and responsibilities
Flow objects are task, event and gateway. In this lecture, we will focus tasks and in subsequent lectures, we understand events and gateway. I do not want to overload the information all together.
All events can be specified, based on their actual nature. They can react to points in time and are triggered by messages or any other external conditions. Based on the real world, not all events be a trigger or got triggered by external influences - it depends on their type.
Gateways are modeling elements that control how the Process diverges or converges
Connecting objects are the lines and arrows that show how elements in a BPMN diagram relate to each other. They define flow, communication, and data movement
Artifacts provide a mechanism to capture additional information about a Process, beyond the underlying flow-chart structure.
Another important BPMN object is Responsibilities. As name suggests objective is to define roles and responsibilities. There are two components in this element. Pool and Swim lane - Let us discuss
There are no official naming conventions in BPMN, but here are a few best practices recognized over the years:
In general as an example,
• Always use keywords that are meaningful to the business
• Do not use uncommon abbreviations
• Do not use the element type in its name
• Avoid articles and pronouns
