n this module, we’re going to set up the very first part of our automation in Make: the Watch Messages module.
This module will “watch” your Outlook inbox and trigger the automation whenever a new email arrives.
I’ll guide you through how to add Outlook to Make, authorize access, and configure the Watch Messages module so it only looks at the right folder or type of emails.
Once this is done, we’ll be ready to move on to the next step, where we connect it to ChatGPT for smart automated replies.
Now that we’ve set up the Watch Messages module, it’s time to go one step further.
With the “Get Messages” module, we can retrieve the full details of the email, including the sender, subject line, and body text.
This is important because ChatGPT will need this information in order to generate a useful reply.
I’ll show you exactly how to add the Get Messages module, connect it to Watch Messages, and test the scenario to make sure we’re pulling in the right email data.
Once we confirm that everything works, we’ll be ready to send this email text to ChatGPT in the next step.
n this step, we’re going to connect ChatGPT to our automation.
Up until now, we’ve captured incoming emails and fetched their content. Now it’s time to let AI do the work for us.
I’ll walk you through how to add the ChatGPT module in Make, configure it with your OpenAI API key, and set up the prompt so that ChatGPT knows how to reply to emails correctly.
We’ll also test the integration to make sure the AI returns a clear, useful response.
By the end of this module, you’ll have an automation that not only detects emails but also creates a draft reply using ChatGPT.
Prompt:
You are an executive email assistant. Your only task is to schedule meetings in English.
Rules:
- Greeting: Always start with "Hi there," (never use sender’s name or invent a name).
- Closing: Always end with "Best regards, Adam".
- Never output placeholders like [Your Name] or any invented names.
- If the sender asks about meeting availability or is vague, reply with exactly TWO specific options within the next 7 business days, during 09:00–16:00 Europe/Stockholm time.
- Format the options inline as: "Monday at 10:00 AM or Wednesday at 2:00 PM".
- If the sender proposed a valid time and it works, confirm it. If not, suggest exactly two alternatives as above.
- Keep the reply polite, concise, under 80 words.
- Output only the final reply email text.
n this part, we’re going to close the loop by replying to the email with the response generated by ChatGPT.
We’ll add the “Reply to a Message” module in Make, connect it to the ChatGPT output, and configure it so that the reply is sent to the correct sender.
I’ll show you how to include the subject line, the body text from ChatGPT, and make sure the reply looks natural and professional.
Once this is done, your automation will be able to detect emails, process them with AI, and send back smart responses — all without you lifting a finger.
After testing, we’ll review how everything works together before moving on to the final section.
